Use this coworking space management checklist to see whether the operation is actually set up, not just busy. It is written for community managers and owners. Tick the items you can do without a spreadsheet export and a group chat.
Before you open bookings
- Every bookable desk, office, room and booth exists, with a capacity and a price.
- Floors and zones match the building, not a single flat list. See multi-floor coworking management.
- Memberships, day passes, credit packs and virtual office plans are named the way you sell them.
- Tax, currency and the payment account are set for this location.
- Door rules match the plans: which doors, which hours, what happens when a plan ends.
- The booking page or member app shows live availability.
- A new lead from the website lands in one pipeline, with a tour task.
Weekly coworking space management checklist
- Look at occupancy by floor, not only a building average.
- Clear failed payments before access rules suspend the wrong people, or confirm the rule did what you intended.
- Check tomorrow's meeting room calendar for double bookings and guests without a host.
- Reply to tour requests that have sat for more than one working day.
- Publish or confirm the next community event. Empty calendars quietly hurt renewals.
- Scan the access log for repeated denials. Those are usually a plan, a card or a guest pass, not a broken door.
Month-end checklist
- Recurring invoices went out, and prorated joins are on the right plan.
- Deposits due back are queued, not remembered.
- Credits expired or rolled according to the plan rules.
- You can say, without rebuilding a sheet, what revenue came from memberships, rooms, day passes and the café.
- Churn is a list of companies, not a feeling. Each one has a reason if you know it.
- Staff who left no longer have admin access.
When you add a floor or another location
Do not copy the first site blindly. Set the new floor or building's prices, hours, tax and staff role on purpose. Then check that a member on the original plan cannot open doors they did not pay for. The multi-location coworking space management guide covers the decisions that show up at site two.
If half of this list still lives in email, that is the case for moving the operation onto coworking space management software. Book a demo and walk through one real week, not a feature tour.
