Who owns coworking space management
Community managers run the floor, the tours and the events. The front desk runs guests, mail and day passes. Finance runs invoices, tax and deposits. Owners watch occupancy and whether the next location is real. Coworking space management is the handoff between those people. If the handoff is a forwarded email, the member feels it.
Where manual coworking space management breaks
Spreadsheets are fine while one person can see the whole space. They fail in a specific order: two people book the same room, an invoice is rebuilt from memory, a former member still has a key card, and a lead from a listing site sits in a personal inbox. None of those is a facilities problem. They are coworking space management problems.
The coworking space management checklist is the short test. If you cannot tick it without exporting three files, the operation is already heavier than the tools.
Coworking space management for one site or a network
A single room still needs bookings, a plan and a way to get paid. A building with five floors needs prices and doors per floor. A second city needs its own tax, currency, payment account and staff role, with reporting that does not blend the empty site into the full one. The job does not change. The number of rules does. See multi-floor coworking management and multi-location coworking space management.
Coworking space management in the US, UK, Canada, Australia and Europe
Members in New York, London, Toronto, Sydney, Berlin and Amsterdam expect the same self-service. The invoice does not. US sales tax, Canadian GST/HST, UK and EU VAT, card payments and direct debit all have to be set per location. Privacy rules such as GDPR apply to member records and access logs. A platform that assumes one country will push that work back onto finance.
How software fits, and what to read next
Coworking space management software is the system of record for the work above: one member, one plan, one booking, one invoice, one door. CoSpaceCollab is that system, with a branded member app. It does not replace the community manager. It stops the community manager from retyping the same fact into four tools.
