Choosing coworking space management software is easier if you refuse a generic tour. Bring one week from your own space: a tour that should become a contract, a room booking with a guest, a failed card payment, and a member whose plan ended yesterday. The right platform can do those without a side spreadsheet.
Start from the painful week
Write down the three tasks your team repeats every day. For most operators that is room booking, invoicing, or lead follow-up. If the product is weak exactly there, the rest of the feature list will not save the rollout. Our definition of coworking space management is a map of those tasks if you need to name them first.
What coworking space management software has to cover
- Live desk and meeting room booking, including day passes sold from your website.
- Recurring and prorated invoices, credits, deposits and the tax for each location.
- A lead pipeline that ends in a member record, not a lost inbox.
- Access control that follows the plan. Ask about your actual locks, not a logo wall.
- A branded member app or portal. A shared marketplace app is a different product.
- Reports for occupancy and revenue by location, and by floor if you have more than one.
- An API or webhooks if you already run a data warehouse or a custom site.
Payments, accounting, calendars and Wi-Fi should be integrations, not a reason to leave the tools finance already trusts. CoSpaceCollab connects to providers such as Stripe, GoCardless, QuickBooks, Xero, Salto KS, Kisi, Brivo, Google Workspace and Microsoft 365. Confirm the ones you use.
What to do on the demo
- Ask them to configure one of your real plans, including a credit and a deposit.
- Book a room as a member and as a guest who does not have an account yet.
- End a membership and watch what happens to the door and the next invoice.
- Open the report you wish you had last month. If they cannot show it, believe them.
- Ask who imports your current members and contracts, and how long that takes.
- If you have more than one country, make them set two tax rates and two currencies.
Signs of a poor fit
Be wary of a tool that only books rooms, only invoices, or only runs a community feed. You will end up operating the gaps. Also be wary of per-location pricing you cannot model, and of a mobile app that carries the vendor's brand instead of yours.
CoSpaceCollab is coworking space management software built for that whole loop. If you want to test it against your own plans, book a demo and send the week you wrote down.
